Build and publish forms

Open Content → Form Builder to create questionnaires for learners and other supported audiences.

This is the canonical guide to form lifecycle and submission modes. Use Publish a form for a cohort for the short launch checklist and Advanced form rules for conditional questions and eligibility.

Create a form

  1. Create the form with a clear internal name, learner-facing title, and unique URL slug.
  2. Choose the submission mode: one editable response, multiple responses, or one locked response.
  3. Add sections and fields. Set labels, help text, required questions, and validation limits.
  4. Configure audience restrictions and submission dates under Permissions.
  5. Save the structure, then preview the learner experience.
  6. Publish after saving all changes.

Structure changes are staged in the browser until you select Save. You cannot publish unsaved structural changes.

Publish, unpublish, and archive

Publishing creates a versioned snapshot. Draft forms are not open for learner submissions. Unpublishing returns the form to draft without deleting responses; archiving retires it from new submissions.

Deleting an answered question preserves historical answers while removing the question from the active form. Use a new question key rather than trying to reuse a removed question’s identity.

Templates and generated forms

Export and import templates to move a form between environments. Where AI form generation is available, review the generated sections, questions, and validation before publication.

Some forms belong to a programme module and contain locked questions that support its workflow. Preserve those protected fields. See Advanced form rules and Publish a form.
