Users and access control

Use Admin → Users for accounts and Admin → Access Control (RBAC) for permission assignments.

Invite and maintain users

  1. Open Users and find the person before creating a new invitation.
  2. Check their email and intended platform access.
  3. Send the invitation or use the available account-management action.
  4. Ask the person to accept with the matching identity.
  5. Verify that they can open the required portal and screens.

An account’s active status affects its ability to use the platform. Review the impact before deactivating someone who still supports programme work.

For named groups and job responsibilities, see Roles and permissions. For university-scoped invitations, follow Set up a liaison officer.

Grant the right access

Use Access Control to review the roles or groups and permissions granted to a user. Reading, changing, reviewing, sending email, and deleting can require different permissions. Staff portal access and learner portal access are also distinct.

Grant the permissions needed for the person’s duties and verify with an appropriate account. A missing menu can reflect access settings rather than missing data.

Learner records are separate

Changing a user’s permissions does not assign them to a cohort or create their learner profile. Use Learner Management for programme records and account links.

See Login providers for sign-in configuration.
