Configure community collaborators

Open Settings → Community Project Collaborators to manage report forms, collaborator roles, reminder timing, and reflection questions.

Required access

The section requires community project question-management access. Editing report forms also requires form-builder management; editing reflection questions requires journal management. These are separate from permission to review reports or see collaborator contact details.

Prepare the report forms

The section lists the Progress Report and Challenges and Lessons Report, including their question counts, protected questions, published version, and unpublished changes.

Use Create the forms if the forms do not exist yet. This creates missing forms without rebuilding an existing one. Select Edit form, save the changes, and publish the form again to make the revised version available. Protected questions cannot be removed because reporting depends on them.

An unsubmitted draft moves to the latest published version when next opened. Previously submitted reports retain their submission version. See Project reports.

Set the collaborator roles

Maintain the role list offered when a learner creates an invitation. It must contain 1–20 unique roles, each at most 100 characters. Defaults include Faculty adviser, Community partner, NGO or organisation partner, Community member, University staff, and Other.

Configure reminders

Set the first reminder, second reminder, and replace-or-explain threshold in increasing order, each from 1–60 days after sending. Defaults are 3, 7, and 14 days. Resending an invitation or changing its email restarts the clock.

Automatic reminders target invitations that have not been opened. Review the related switches under Settings → Notifications for invitations, collaborator reminders, and no-response notices. If a notification switch is off, its scheduled step is still recorded; turning it on later does not send that missed step retroactively.

Maintain reflection questions by cohort

Find the cohort under Collaborator reflection questions. Use Create and edit to prepare its template or Edit questions to update it in the journal editor. Each cohort has its own template, so editing one does not change another cohort's questions.

Review the requirements and consent questions carefully. The default reflection asks for three required written answers and one optional answer, 50–250 words each, with up to three photos and a profile photo. Cohort customisation may change the questions people see.

Before launching, test an invitation, sign-in, draft, submission, staff review, and the intended reminder behaviour in TEST. See Invitations and reflections.
